Beacon
Group leaders are all invited to use Beacon - this gives you real time access to our members database, in order to manage your groups membership, to send out emails to the members and if necessary, keep track of the groups finances.
In order to get set up please contact Beacon Administrator John Hammond by email stating what group(s) you are the group leader for. Once John has set you up, he will let you know your username and temporary password via email along with training notes and who to contact for support.
Once you start using Beacon to manage your members' information, we would suggest that you let your members know that you will be sending your group emails through Beacon using their membership contact email address.
Waiting Lists for Groups
If your group is full and you are approached by new members who would like to join, please take their names and contact details and pass them to the Groups Coordinator who is holding waiting lists for all groups.
Group Leader Documents
- The Safety Checklist should be completed and sent to the Groups Coordinator
- Should an accident occur in your group complete the Accident Report form and send it to the Group Coordinator
- If you are taking photographs of group members you must ask first if they wish to be included so that they have the opportunity to step out of shot. For more information about sharing photographs refer to the Data Protection Policy 2022
- Fill in the Expenses Claim Form should Committee members or Group Leaders need to claim back their expenses

Data Protection Act 2018
In order to comply with the Ware u3a Data Protection Policy 2022 please ensure that you delete all your information on members who are no longer in your group.

Some interest groups are open to members of other u3as subject to availability and within the terms of the Agreement: Members from other u3as.
